AI receptionist platform for local operators

Every call answered. Every lead captured.

RingNest picks up in two rings, 24/7 — books the appointment, qualifies the lead, escalates what's urgent, and answers only from your approved knowledge. Then it shows you the transcript to prove it.

CRM context

Built for businesses that live and die by the phone

How it works

From missed calls to a working front desk in three steps.

1

Connect your number

Port your existing line, forward calls conditionally, or provision a fresh number. Most teams are live in under an hour — no hardware, no carrier calls.

2

Teach it your business

Point RingNest at your website, FAQs, and documents. It answers only from approved sources — and tells you when a caller asks something it can't answer yet.

3

It answers, books, and reports

Calls handled, appointments booked, leads scored and routed. Every conversation comes with a transcript, a summary, and a QA scorecard you can audit.

Call handling

Instant pickup, honest handoffs.

RingNest answers on the second ring, day or night — weekends, holidays, and the lunch rush included. It detects urgency, routes by intent, and when a call needs a human, it warm-transfers with full context so your team never starts from “who is this?”

  • 24/7 answering with after-hours and holiday schedules
  • Warm transfer with caller name, intent, and history read out first
  • Overflow coverage when your team is on the other line
  • Voicemail fallback and callback queue when nobody's available

Booking & scheduling

Books the job while the caller is still warm.

Connected to your real calendar, RingNest offers actual open slots, detects conflicts, and books, reschedules, or cancels in one call. Confirmations and reminders go out by SMS automatically, so no-shows stop eating your schedule.

  • Book, reschedule, and cancel against live calendar availability
  • Intake questions asked before the slot is locked
  • Multi-staff and multi-location booking rules
  • SMS confirmations and no-show reminders built in

Lead qualification

Scores every lead — and shows its work.

Every caller gets asked your qualification questions, and every lead gets a score built from factors you can read: budget, urgency, service fit, spam signals. No black box — you see exactly why a lead is hot, so your team calls the right person back first.

  • Configurable intake questions per service line
  • Explainable score breakdown on every lead record
  • Hot leads routed instantly; nurture leads queued for follow-up
  • Spam and solicitation calls screened out automatically

“Do you offer financing on installs over $2,000?”

What RingNest did

No approved source covers financing — took a message instead of guessing, and drafted a suggested FAQ entry from your intake notes.

Suggested answer ready for approval

Review & publish

Grounded knowledge

Answers from your sources. Silence where there are none.

RingNest ingests your website, FAQs, and documents, and answers only from what you've approved — every answer traces back to a source. When callers ask something it can't answer, that becomes a logged knowledge gap with a suggested fix, so your receptionist gets smarter every week.

  • Website, FAQ, and document ingestion with approved-source controls
  • Every answer cites the source it came from
  • Gap detection surfaces the questions you haven't answered yet
  • Self-healing suggestions — you approve, it learns

QA & testing

Test it like an employee before it takes a single call.

Would you put a new hire on the phones without training? RingNest runs simulated call scenarios — angry customer, emergency, price shopper, Spanish speaker — and grades each one against a scorecard. Nothing goes live until it passes, and every config change gets re-tested.

  • Simulated scenarios covering your real call types
  • Pass/fail scorecards per intent before go-live
  • Regression runs on every knowledge or flow change
  • Live-call reviews with quality scoring after launch

From the people on call

Operators who stopped losing the phone game.

We were missing 20 to 30 calls a week during peak season. RingNest booked 41 jobs in its first month — including a $6,400 repipe that came in at 9pm on a Sunday.

Marisol Vega

Vega Plumbing & Drain, San Antonio

The lead scoring is the part I didn't expect to love. It flags real potential clients and screens the tire-kickers, with the reasons written out. Consult bookings are up 28%.

Daniel Okafor

Okafor Family Law, Columbus

Our front desk used to spend half the day on reschedules. RingNest handles them in English and Spanish, sends the SMS confirmations, and our no-show rate dropped 19%.

FAQ

The questions every owner asks first.

Something we didn't cover? Open the demo and ask the receptionist yourself — it answers questions about RingNest too.

Will callers know they're talking to an AI?

That's up to you. RingNest can introduce itself as your AI assistant (our recommendation — callers respond well to honesty) or use a neutral greeting. Either way, it speaks naturally, handles interruptions, and never leaves a caller on hold. Anyone who asks for a person is warm-transferred immediately.

What happens when it can't answer a question?

It never guesses. If a question falls outside your approved knowledge sources, RingNest takes a message or transfers to your team, and logs the question as a knowledge gap with a suggested answer for you to approve. Most customers close their top gaps within the first two weeks.

Can I keep my existing phone number?

Yes. You can port your number to RingNest, keep it with your current carrier and forward calls (always, after-hours only, or on no-answer), or provision a new local or toll-free number. Porting typically completes in 3–7 business days and your line keeps working throughout.

How fast is setup?

Most businesses go live the same day. Connect a number, import your website and FAQs, review the auto-generated call flows, and run the built-in QA scenarios. You see exactly how it will handle real calls — with pass/fail scorecards — before a single customer hears it.

Does it speak Spanish?

Yes. RingNest is fully bilingual in English and Spanish on Pro plans and above. It detects the caller's language automatically, switches mid-call if needed, and delivers transcripts and summaries in English so your whole team can act on them.

What integrations do you support?

Google Calendar and Outlook for scheduling; HubSpot, Salesforce, and Pipedrive for CRM; Slack and Microsoft Teams for alerts; Zapier and Make for everything else; plus a REST API and webhooks for custom workflows. Leads can also go to SMS, email, or Google Sheets.

Is my data secure?

Call recordings and transcripts are encrypted in transit and at rest, with configurable retention windows and automatic PII redaction. You control consent and recording behavior per line, and every admin action is captured in an audit log. SOC 2 Type II is in progress, and our architecture is HIPAA-ready for healthcare deployments.

Your phone is ringing right now. Who's answering?

Open the live demo, hear how RingNest handles your call types, and go live before your next missed call.
